Inadequate or non-existent master vendor file policies scream Poor Internal Controls—something that no company can tolerate in this post Sarbanes-Oxley era. Responsibility for and access to the Master Vendor File is an often overlooked area within the corporate accounting, accounts payable and/or purchasing function. This is an unfortunate because sloppiness in this arena opens the door for unscrupulous vendors and thieving employees. It also makes it easy for well-intentioned employees to make unintended duplicate payments.
